New Employee Onboarding

We want new employees to feel welcome and ready as they join the team at Oklahoma State University. Onboarding is a comprehensive approach to integrating new employees into the workplace. Onboarding is created and driven at the departmental level and we have some helpful information to get you started:


Engage early

Once your new employee is hired you can start welcoming them to your department and the university. We encourage managers to make a welcome call to discuss important things they should know before their first day:

 

Create an onboarding plan for 6-12 months

Onboarding is not the 1-hour orientation provided by University HR. It is an ongoing process usually extending beyond 6 months. The following information should be a part of your process, but not inclusive of the full onboarding period which should be specific to your department.

 

Prepare:

  • Engage the entire team in the onboarding process by announcing who was hired, for what position and who will be assisting in the onboarding process.
  • Ensure the required equipment to perform job duties is set and ready for your new hire.
  • Coordinate with internal departmental representatives to complete the UKG New Hire Checklist (i.e. I-9, Loyalty Oath).

Day 1:

  • Start with a tour of the office even if the employee works remotely. Create an environment where the employee can get a feel for the department culture on their own.
  • Provide job description to start the training process.
  • Utilize the professional development opportunities and online courses available at http://talent.okstate.edu/.
    • Reference the Recommended & Required Training playlist (guided online course selections), to become familiar with OSU’s mission and required training.
    • Part-time and student employees access training here.
  • Register for an Orientation and Benefits Enrollment session within 30 days of hire.
  • Set expectations for a 90-day review.
