Congratulations on your new position with OSU! As a new employee, there are a few things you will need to take care of.
Before Your First Day
- New Hire Packet
Completing the new hire packet as soon as possible (even before the first work date) allows several things to happen:
- You will be entered into systems as an employee sooner, this allowing no delay in pay.
- It also allows your departments to start requesting systems access. Systems access allows you to obtain an ID card and parking permits, visit the Wellness center and take advantage of any discounts offered to OSU employees.
- Benefit Overview
Eligibility for benefits is based on your position, your appointment percentage or FTE, and the length of your appointment. Contact OSU Benefits for information about the benefits available to you.

- Voluntary Retirement Plan Options
Voluntary Retirement Plans offer OSU/A&M employees an opportunity to set aside retirement savings on a voluntary basis. OSU/A&M employees have three options: 403(b) Plan, Roth 403(b) Plan, and 457(b) Plan. You decide how much money to contribute within the guidelines set by the Internal Revenue Service.
- Returning Retirees
If you are returning to work post-retirement, there are some things you should know.
Your First Week
- Obtain Your BannerID
Your department receives this number as they prepare the ePAF. This is your OSU ID number, also known as your "CWID" or employee ID. If you have previously been enrolled or employed at OSU, you may already have a BannerID.
- Activate Your O-Key Account and Email
The O-Key credentials are used throughout the IT systems and many others to provide secure single sign-on access to IT services such as my.okstate.edu, the Software Distribution Center, Virtual Labs, the wireless network, Canvas, and many others. This information ties to the ID card for access to campus point-of-sale purchases, authorized controlled access doors, and more.
- Obtain Your OSU ID Card
Each person formally associated with OSU is issued an ID card. Generally, the ID card is used in person to gain access to services or make purchases on campus.
- Purchase a Parking Permit
If you are parking on campus, you will need a parking permit. If you have your O-Key credentials you can access the Permit Portal. If you do not have your O-Key credentials you may visit Parking and Transit in the Multimodal Transportation Building at 1006 W Hall of Fame, or call 405.744.6525.
- Schedule Orientation and Benefits
Your orientation program is an opportunity to learn more about OSU and the resources and benefits available to you. Our orientation is conducted by HR representatives and includes an overview of OSU history, HR services, Wellness services, sustainability, benefits and much more!
- Download the Rave Guardian Safety App
Use Rave Guardian to chat with the OSUPD to send in crime or suspicious activity tips or call their non-emergency line. If you have an emergency, dial 911.
During Your First Weeks
- Review Your Position Description
If you are an OSU staff member, your department should provide you with a copy of your position description specific to your job.
- Complete Recommended and Required Training
- University and Departmental Expectations
The university establishes its employment expectations in a variety of operating policies and procedures, and the Regents' Rules. Your department will provide you with specific expectations for successful employment in that department. Departmental expectations may provide information such as dress code, opening or closing procedures, absentee reporting protocol, personal phone calls, email etiquette, and other important matters relevant to your department.
First Year and Beyond
As you approach the first anniversary of your career with OSU, take time to reflect on both the last year and the years to come. What have you and your team achieved that supported our mission and strengthened our community – and how will you continue to build upon that success moving forward?
What additional skills and knowledge do you need to develop in order to advance your plans and accomplish your goals? Discuss participating in some of our many instructor-led and online courses, leadership programs and certificates, and other available resources toward your professional development with your supervisor as part of your ongoing goal-setting and performance communication.
