Work Permits, Renewals and I-9 Compliance

The OSU work permit confirms immigration status and valid work authorization from U.S. Citizenship and Immigration Services. If a work permit expires, the employee will need a renewal to continue employment.


Who needs a work permit renewal? 

  • OSU employees who receive updated work authorization from USCIS, such as a new or renewed EAD card.
  • OSU employees switching from a student position to a non-student position.

F-1 international students and J-1 scholars in need of a Work Permit Renewal should continue working with the Office of International Students & Scholars.


Completing the work permit renewal process

The employee will initiate the process by completing the work permit renewal form and uploading all supporting documentation.

 

Example of supporting documentation:

  • For employment on F1 OPT, upload the following: Copy of valid EAD card, I-20 with OPT endorsement, F1 visa page, passport bio page, Most Recent I-94, and copy of job offer letter.

For departments involved in the work permit process, once the employee submits the form, the HR Immigration Services Consultant will review the documentation and complete the immigration clearance. The form then moves to Tax & Compliance for tax review and final pork permit approval.

 

Once a work permit renewal is approved, the employee will receive an automatic email with the approved form to share with their department.


Maintaining I-9 compliance

Employers are required by law to have a valid I-9 for each employee. Anytime a foreign national’s work authorization expires and is renewed, the employee’s I-9 will need to be reverified for compliance purposes. The employee should request a quick verification meeting with the HR ISC to physically see the original document and complete the I-9 reverification.
