Exit Interviews

University Human Resources has launched an Exit Survey for staff resigning from employment with the university on the Stillwater Campus.

 

Goal of Survey:

The goal is to identify opportunities for Oklahoma State University to learn from past employee experience, knowledge, and expertise. Employees leaving the university have a unique perspective on the strengths and weaknesses of our institution, including information about their work experiences and why they have chosen to pursue another opportunity. We believe this information is of vital importance in analyzing employee retention and turnover trends in a holistic university-wide data set. 

 

How the Survey is Provided to Employees:

Staff employees voluntarily separating will be invited to complete an exit survey through an email link upon submission of an EPAF. The survey is brief and can be completed within 10 minutes.

 

Survey Information Collected:

Information from the survey will be provided periodically to departments, managers, and supervisors in aggregate form to maintain privacy. Information that relates to allegations of harassment, discrimination, or illegal activity will be acted upon immediately and it will not be possible to keep the source of this information confidential.

  • Who is administering the exit survey? 

    University Human Resources administers this survey.  

     

    The university will make a great effort to keep all information private wherever possible. All attempts will be made to provide information to departments, managers, and supervisors in aggregate form, although in small offices or where specific situations exist, it may not always be possible to keep the information anonymous. Information that relates to allegations of harassment, discrimination, or illegal activity, will be acted upon immediately and it will not be possible to keep the source of this information private.

  • Is the exit interview information confidential?  

    The information collected during exit interviews is private. The information will be shared in aggregate form and, when possible, personally identifying information will be removed before it is shared. However, if allegations of unethical or criminal behavior, incidents of discrimination or harassment, regulatory non-compliance or other legal issues are divulged, we are obligated to take action by notifying the Office of Equal Opportunity, OSU Police, or other appropriate university office. The information provided in these circumstances may include personally identifiable information.

  • What is the purpose of staff exit interviews?  

    OSU values the contributions and aspirations of all staff. The staff exit interview process is intended to provide employees voluntarily leaving the university with the opportunity to provide feedback on culture, job satisfaction, benefits and  pay offerings, to drive positive change. Exit interviews will assist OSU in gaining insight into opportunities to promote employee job satisfaction and advance workplace excellence and culture. Information collected during exit interviews allow a unique perspective on organizational performance and employee satisfaction. 

  • Why do you need my information? 

    Beyond the initial purpose of the staff exit interview, it is important to have specific information related to your position and where you worked on campus. This allows us to further analyze the information to ensure larger policies and systems are appropriately functioning within the university. 

  • How long will it take to complete the survey? 

    The survey is deliberately brief to encourage participation and can be completed within 10 minutes. 

  • Will involuntarily separated staff have the opportunity to complete the exit survey? 

    At this time, there are no plans to do so. There are other channels available for involuntarily separated staff to raise concerns about their employment, such as grievance and complaint processes. 

  • Who will receive an exit survey? 

    Staff employees voluntarily separating employment will receive an email invitation link to complete the survey.

  • How will information from the exit surveys be made available? 

    To promote workplace excellence, information from the exit survey will be shared with colleges and divisions on a regular basis, likely on a quarterly basis. University Human Resources will share aggregate data to reveal areas of opportunity and best practices along with trends over time.  

     

    If an issue is reported that requires follow-up or investigation, HR will involve the appropriate offices.  

  • My department already does exit surveys, can we continue? 

    Yes. Departmental exit surveys may supplement the university process. The university exit survey process is designed to provide a more holistic data set and institutional insights across Oklahoma State University. 

  • Will exiting faculty complete this exit survey?  

    No. Currently the focus for this project is staff positions.
